There are two copies of your timetabling data. One copy is stored in the central database on our Timetabling server (lion) along with everybody else's. The other copy is your local "image" of the data. This one contains only the data that you are responsible for in your school or faculty. This "image" is the file saved on your PC - the one called filename0nn.img that you use to start Syllabus Plus.
Syllabus Plus keeps both of these copies synchronised. If people in other schools are working on Syllabus Plus, they may be doing things which affect your data. For example, if they are working on their Programmes of Study they may be including your modules. When you log in, Syllabus Plus compares your image file with the central database and synchronises them.
You may notice the word Refreshing at the bottom of the screen when you log in.
This is Syllabus Plus synchronising your image with the database.
If you have not logged in for a while, there is a chance that your image becomes too far out of step with the central database. Syllabus Plus assumes that if you have not logged in for 7 days, then your image is too old. It will prevent you from logging in. In this case, it is necessary to load a new image from the central database.
To prevent this from happening try to remember to log in every day or two - and do a save. Do this even if you have made no other changes. It will only take a couple of minutes.
If your image has expired follow these simple steps to reload it (current for Semester 2, 2008 timetable).
- Double click on the Syllabus Plus icon to open Syllabus Plus.
Double click on the splus.img file.
- The Select a Language window will appear. Click on the OK button.
The Course Planner Setup window will appear.
- Select the Scheduling Database radio button and click on the OK button.
- The Scheduling Database Server window will be displayed.
Enter lion in the top box and the appropriate SDB Service in the bottom box (i.e. for Semester 2, 2008 use splus2)
- A box prompting you to "Save image file with server details now?" will appear.
Click on the No button
- A Course Planner connect box will appear.
Click on the Connect button.
- When the Scheduling Database Login box appears:
Enter your username in the top row (Contact Timetabling Manager if you don't know your username).
Enter your password in the bottom row.
Click on the Connect button.
Provided you have entered your details correctly, a box will be displayed briefly advising that your are "Connecting to the Scheduling Database".
Syllabus Plus will then appear with the Institution window displayed.
The data for your image will begin downloading. In the bottom left hand corner a message will appear saying Fetching all Data.
The number of problems will be displayed in yellow. This could take 10 minutes or so.
When the data has been downloaded the word Connected will appear in the bottom left hand corner and the number of problems will be displayed in red. You must save the image file now.
We have a standard location for Syllabus Plus image files - c:\splus35\data\semester_x\filename.
For Semester 2 2008 the location will be c:\splus35\data\semester_2\yourfilename_YearSem.img
For example, if you are in the School of Optometry this would be :
C:\splus35\data\semester_2\optometry_082.img |
1. Click on the File menu.
2. Choose the Save option. The Save File window will appear.
3. Click on the Browse… button. The Save As window will appear.
4. Locate and open the Data directory.
Locate and open the Semester_2 directory.
5. Click on the file in that directory.
6. Click on the Save button at the bottom right of the Save As window.
The following message will be displayed
"C:\splus35\data\semester_2\file_082.img.
This file already exists.
Replace existing file?"
7. Click on the Yes button.
The Save File window will appear again.
8. Click on the Save button.
The file will be saved. Syllabus Plus will display a progress bar.
Wait patiently for a few moments.
When this process is finished, a box will prompt you to connect to the database again.
9. Click on the Connect button.
10. You may now continue working with Syllabus Plus, or exit the program.
